All of the information collected through our system is encrypted and protected at a remote server.

Can I host the database?
All Idealistics Case Management systems are hosted solutions, meaning we handle the hosting so you don't have to :-)

How does the database integrate with the Idealistics resource database?
Should an agency purchasing a case management system be located in a resource database coverage area, we will include a search engine feature in their system without charge. The search engine analyses information for each household member and determines eligibility for available programs and services.

Where is a resource database coverage area?
A resource database coverage area is one that we have a significant amount of social service programs in a search engine.

Can volunteers use the system?
Most of our clients who purchased this system depend on volunteers to help them serve the community. As a result, we recognize the need to train volunteers on the use of the system.

Do you provide training?
Yes. We offer trainings to volunteers, case managers, and administrators.

Do you provide technical support?
We offer 24/7/365 technical support. Because the system is hosted over the Internet, is makes it easier for us to more quickly address issues remotely.

Can we make paper back-up files?
Yes. We recognize that some organizations need to maintain paper files to meet the regulations their funders established.

Can we print client files and case notes?
Yes. We work with all our clients to make it easy to print client files along with case notes and reports.

Does the system integrate with other case management databases, like HMIS?
Yes. Our software developers work diligently to make sure data sharing between programs happens easily.

Can you customize the database to meet my organization’s needs?
Yes. All of our systems are customized to meet the needs of your organization, your funders, and your community. Our developers meet with program staff and administrators to make sure the data collection system reflects your agency’s mission and outcomes.

How does customization work?
We meet with your staff to review case file forms and grant reporting requirements. Our primary goal is to ensure our clients gather all the data they need to exceed grant reporting requirements.

Can we design our own intakes?
Yes. Our Case Management system is fully customizable.

How much does it cost to renew?
It costs $1,500 to renew a one-year contract.

Is there a fee to receive system upgrades?
We offer free system upgrades to all of our clients.

How many system trainings do you provide?
We offer one training to both administrators and caseworkers. We encourage our clients to identify a trainer within their organization to teach new staff how to use the case management system.
